Last updated: September 2026

Our commitment to you:

  • We are committed to protecting your personal data at all times.
  • We never sell your data to third parties.
  • We rely on legitimate interest when following up on a storage enquiry or price request, so we can help you choose the right size and answer your questions.
  • We only send you marketing communications where you’ve given us your consent to do so.
  • We handle your data in line with UK GDPR and the Data Protection Act 2018.

Our full Privacy Policy below explains what information we collect, how we use and protect it, how long we keep it, when and how we’ll contact you, and how you can exercise your privacy rights.

1. Introduction

Mammoth Self Storage Ltd (“Mammoth,” “we,” “us,” “our”) is committed to protecting your personal data when you use our storage facilities or our website, https://www.mammothselfstorage.co.uk (the “Site”). This policy explains:

  • what personal data we collect about you;
  • how and why we use it, and our lawful basis for doing so;
  • when we may contact you;
  • whether we share your data with anyone else;
  • how long we keep it;
  • your rights over your data; and
  • how we use cookies on our website.

We are a company registered in England and Wales, Company No. 11578874. Our registered address is 20-22 Richfield Avenue, Reading, Berkshire, RG1 8EQ, and we operate storage facilities at North Reading, South Reading (Spencers Wood) and Mapledurham.

We are the data controller for the personal information described in this policy.

Please note our Site may contain links to third-party websites. We’re not responsible for their privacy practices, and we’d encourage you to check their own policies before using them.

2. What information do we collect about you?

2.1 When requesting a price or making an enquiry

If you request a storage price through our website, in person, or over the phone, we collect your name, email address, phone number and postcode. We also ask what type of storage you need, roughly when you’d like to start, how long you expect to need it for, and what size unit you’re interested in, so we can point you toward the right option.

2.2 When making a booking or reservation

If you go on to book or reserve a storage unit with us, whether through our online booking system, over the phone, or in person, we collect your full name, address, email and phone number, along with details of the unit you’ve booked. We also ask for a form of photo ID, your date of birth, and payment/direct debit details, so we can set up your customer account. You can also choose to give us the details of an alternate contact person (referred to in your storage agreement as the ACP), but you don’t have to. If you do, we’ll assume you have their permission to share this with us; their details are never used for marketing.

As part of the booking process, we’ll ask whether you’re happy to receive marketing communications from us. This is a separate, opt-in question, it is not required in order to complete your booking, and you can change your mind at any time (see Section 8).

2.3 When moving out

We may ask your reason for leaving, to help us understand and improve our service.

2.4 Website and cookies

We use cookies and process your IP address when you use our Site, to help us understand how it’s used and to improve your experience. See Section 12 for more on cookies.

2.5 Telephone calls

We may record calls to or from the numbers displayed on our website, for training, quality and security purposes. This is signposted at the start of any recorded call.

3. How do we use your information?

We use the information described in Section 2 for the following purposes, depending on your stage of the relationship with us:

When you request a price or make an enquiry:

  • To help you find the right storage size and location for your needs.
  • To send you a copy of your price by email or text.
  • To follow up by phone, email or text with information relevant to your enquiry.
  • To keep a record of your enquiry for administrative purposes.

When you make a booking:

  • To process your booking and take payment.
  • To send you booking confirmation and next-step information.
  • To set up your customer account.
  • To verify your identity.
  • To record your marketing preference.
  • For compliance with our legal and regulatory obligations.

When you’re a storage customer:

  • To deliver the service you’ve signed up for.
  • To contact your alternate contact person, if you’ve named one, when we’re unable to reach you and need to.
  • To send invoices and manage your account.
  • To update you on access arrangements.

When you move out:

  • To confirm your move-out date and process any refund due.
  • To finalise your account.

We may also convert your data into anonymised, aggregated statistics, for example to understand which unit sizes or locations are most popular. This is never used to identify you individually.

4. What is our lawful basis for using your data?

Where we follow up on a price request or enquiry, we do so on the basis of our legitimate interests. Many people are unfamiliar with self storage and benefit from practical guidance on choosing the right unit size, so we consider it in enquirers’ interests for us to follow up, provided that contact is proportionate, relevant, and limited to a reasonable period after your enquiry.

Where we’re delivering a service you’ve booked, we process your data because it’s necessary to perform our contract with you.

Where we send you marketing communications, we do so only with your consent, given at the point of booking (see Section 8). You can withdraw this consent at any time, and if you do, we’ll stop.

Some processing (for example, record-keeping) is necessary to comply with our legal obligations.

5. How do we protect your information?

We use appropriate technical and organisational measures to protect your data against unauthorised access, loss or damage. Only staff who need access to your information to do their job are given it, and they’re trained in how to handle it properly.

6. When will we contact you?

We may contact you:

  • about a price or enquiry you’ve made;
  • to confirm or discuss a booking;
  • about your account, invoices, or access arrangements;
  • to confirm your move-out and process a refund;
  • where you’ve opted in to receive marketing communications (see Section 8).

7. Will you contact my alternate contact person?

You can choose to give us the details of an alternate contact person (ACP) when you book, but you don’t have to. If you have named one, and we’re unable to reach you using the details you’ve given us, and we reasonably need to (for example, if items are left in storage past the end of your agreement), we may contact your ACP. It’s your responsibility to let that person know you’ve given us their details.

8. Will I be contacted for marketing purposes?

We may want to keep you updated with offers, promotions and news that might interest you. We’ll only do this where you’ve given us your consent, which we ask for as an optional question during the booking process, it is never required in order to complete a booking.

You’re always in control of this:

  • Every marketing email includes a clear way to unsubscribe, whether that’s a link or instructions on how to do so.
  • You can also opt out at any time simply by contacting us directly, using the details in Section 13, we’ll action this promptly.
  • Opting out of marketing won’t affect factual communications about a booking, enquiry or account you already have with us, those aren’t marketing and will continue as normal.

Marketing communications are always separate from the factual, service-related messages covered in Sections 3 and 6.

9. Will you share my information with anyone else?

We don’t sell your personal data. We may share it with:

  • Storman, our booking system provider, to process and manage your reservation
  • Aplyid, our ID verification provider, to verify your identity
  • Our payment processor, to handle payments securely
  • Professional advisers (e.g. accountants, insurers, legal advisers), where necessary
  • Debt recovery agencies, in the event of an unpaid account, after a reasonable period
  • Regulators, law enforcement or other authorities, where we’re legally required to

Any third party processing data on our behalf is contractually required to keep it secure and use it only for the purpose we’ve instructed.

10. Will my data be transferred abroad?

We don’t process personal data outside the UK ourselves. Some of the third-party providers we use store data outside the UK, though in each case this is within a country the UK recognises as offering an adequate level of protection, so no additional safeguard document is required:

  • Our booking system provider, Storman, has confirmed in writing that our account’s data is hosted with Fasthosts, in a UK data centre. This means it isn’t an international transfer at all, so no safeguard document is needed for this one.
  • Our ID verification provider stores UK/European data on servers in Dublin, Ireland (also within the EEA); their support engineers, based in New Zealand, may access this data to resolve technical issues. New Zealand is also recognised by the UK as offering adequate protection, and this is additionally backed by Standard Contractual Clauses and the UK’s International Data Transfer Addendum.

11. How long will we keep your information?

  • Enquiries that don’t lead to a booking: retained for at least 12 months from your last contact with us, then deleted.

  • Bookings that don’t proceed to move-in: retained for 12 months from the date of booking.

  • Active customers: retained for the duration you’re storing with us.

  • Ex-customers: retained for 6 years after move-out, in line with HMRC’s minimum for financial records.

  • Overdue/delinquent accounts: retained for 7 years, in line with ex-customer records.

  • Call recordings: retained for 12 months.

12. Cookies

Our website uses cookies to help it function and to understand how visitors use it. Some are essential and can’t be switched off; others (such as analytics cookies) are only set with your consent, which you can manage via our cookie settings at any time.

13. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure of your data, in certain circumstances
  • Restrict how we use your data, or object to our use of it
  • Data portability, where technically feasible
  • Withdraw consent, where we rely on it (e.g. marketing, non-essential cookies), at any time

To exercise any of these rights, or if you have questions about this policy, contact us:

We’ll respond within one month, as required by law.

If you’re unhappy with how we’ve handled your data, you have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk, Helpline: 0303 123 1113.

14. CCTV

We operate CCTV 24 hours a day, 7 days a week, covering the inside and outside of our facilities, for the safety of staff and customers and the security of our premises and stored belongings, on the basis of our legitimate interests. Signage is displayed on site. Footage is kept for 14 days on a rolling basis, unless it is needed longer to investigate an incident. If you believe you appear in our footage, you can make a Data Subject Access Request using the details in Section 13. Please include proof of identity and the date, approximate time and location, so we can find the footage, and contact us promptly as it is overwritten after 14 days. Where footage shows other people, we may blur or mask them, provide still images, or withhold it if releasing it would unfairly affect their privacy. We only disclose footage to third parties, such as the police, insurers or other authorities, where the law allows, and we consider requests from anyone other than the person pictured case by case.

15. Changes to this policy

We may update this policy from time to time, for example to reflect changes in the law or how we operate. We’ll update the “Last updated” date at the top of this page when we do.
